Structure
- The Preceptorials Committee will be made up of undergraduates from University of Pennsylvania who has been selected by the committee through an application and interview process.
- The general body of the committee should be made up of all member of the committee and they should once a year in May through election select a six person steering committee.
Responsibilities of general members
- The responsibility of general members is to attend all general committee meetings, be an active member of the committee, generate idea for preceptorials, staff preceptorials, voting on the steering committee and take a leadership role in planning at least two preceptorials per semester.
- For his/her preceptorials, the member is responsible for the following aspects of creating a preceptorials: contacting professors, establishing dates in conjunction with the preceptorial instructor, reserve rooms and other resources needed, assist instructors in curriculum development, submit budget request for the preceptorials, administer evaluation, notify students who have been selected, and staffing the event.
Responsibilities of steering members
- The steering committee will be made up of six members from the preceptorial and one representative from SCUE who is to act as a liaison and point of contact between the two committees.
- The steering committee is made up of the following positions: Chairs, Vice-chair, Treasure, New member coordinator, Public relations, and Sectary.
- The Chair and Vice-chair are responsible for the following duties: setting agenda for preceptorial steering and general member meetings, designing committee policies, evaluation of coherency of preceptorials, setting goals and mission of committee, working on projects and ideas for the future, expanding and maintaining positive relations with preceptorial instructors, administrators, and staff of the University, act as the representative of the committee to external including the press, and work pro-actively to find and create new preceptorials.
- The treasure is responsible for following duties: handling the account in OSL and getting Provost's matching funds, creating a internal budget of preceptorials and other expenses, creating a budget for SCUE, working with the treasure of SCUE, monitoring financial situation of committee, and handing reimbursements.
- The responsibilities of the new member coordinator are to: coordinate the application and interview process, publicize applications throughout the student body, handle all questions from students about membership, run info sessions, and handle the new member training and integration of new members into the committee.
- The responsibilities of the public relations person are to: publicize preceptorials, place information in the DP, in charge of website, check dolphin account, get names from registrar, give names of preceptorials to register, maintain listserve, put together evaluations of preceptorials, implement all policies regarding attendance to preceptorials, and create and maintain preceptorial archives.
- The sectary's responsibilities are: keep minutes of meetings, compile list of preceptorials, maintain contact with members, schedule rooms and insure that deadline are met.
